Thanks all of you for your suggestions but this is the one which works a
treat. That's the problem when you don't get manuals anymore and you have to
scurry around a on-line help file.

I lways found that someone else has ahd the same problem and worked out a
way to solve it.

Tools/Options/Maintenance and choose the Store Folder button - this is where
you're Mail files are.

files on the data drive means they automatically get backed up with the rest
of my data.

I move messages to A_folder i.e. Archive_Personal is an archive folder for
my Personal emails. I then copy the A_folder to a CD or other 'offline'
device knowing that if I need to get at my archives all I need do is copy
the 'real' A_folder back to the Outlook folder. I then delete the contents,
not the folder, of A_folder from within Outlook. Warning, don't add anything
to the original A_Folder in Outlook in the meantime as this will be lost
when you re-introduce the archived one.
