If it's in a spreadsheet form, save it as a .csv file (comma separated
values) and it can be opened by or imported into other programs such as
Excel. If worst comes to worst, there is a small programme called CSVdb
(you can search for the download) which will open & print any .csv file.

What you've been doing creates *another* shortcut in the Programs menu. You
need to Right Click, hold down and drag the Works icon onto your desktop
then choose "create shortcut".
