Subject: Admin Note Re: Board Posts and use of Surname box
Date: Tue, 9 Nov 2004 06:20:21 -0800 (GMT-08:00)

Dear Listers:

Pattie's note provides an example and opportunity for me to explain how
to properly use the Surnames section on the boards and to review how one
can respond to gatewayed posts that come to the list. There are links at the
bottom of the boards pages that explain how they work, however the links
are so small and placed such that most people never realize they exist until
they are pointed out.

The box to enter surnames is to contain only those listed in the body and
subject line of the message. It is not intended for listing other names one
is researching. Rather it is used to create results on the advanced search feature
to locate messages, no matter what board they are on, that contain the surname
being searched for. To include them in the surname box when they are not in
the message would create "false positive" results for searchers. Board Admins
have the task of manually removing all names not contained in the message.

The format used in this example message:
Surnames: Stuart/Stewart, Southerland(all spellings), Brigance, Hon

will only produce results for someone searching on Brigance or Hon.

One would have to type exactly what Pattie did in order to have this message
turn up in a search based on surname or this message will not be found

Stuart/Stewart
Southerland(all spellings)

Admins have the task of "fixing" the surname boxes to ensure the correct
format is used in order that posters' messages will be located when others
search the surname category.

The proper formats are:

Surnames: Stuart,Stewart,Southerland,Brigance,Hon
or
Surnames: Stuart, Stewart, Southerland, Brigance, Hon

As the message does not contain any surname except Stuart,
and Stewart, all others will be deleted from the surname box,
in order to not produce false positive results when others search.

When you see messages on the list that have been "gatewayed" from
the boards, you have two options in order the poster see your response.
1) click the link and reply on the board -- which will in turn post to the list
or
2) be certain you cc the board poster when you reply to the list

Just as not all list subscribers visit or use the boards, not all board posters
will be subscribers to lists. Some folks prefer one method over the other
and some folks only have a limited interest in any particular surname, to the
point of not needing or desiring subscription to lists focusing on the surname.

Yours Aye,

Lauren
