I might be wrong, but I don't think you actually want to export a
_report_ which is the same as making a file that contains a copy of
the the _definition_ (the setup) for the report itself. This is
for
sharing report definitions with other people. If that is wat you
want,
you will find the "export reports" menu item under the "File" menu
_after_ that you have started the Custom Report Writer (i.e. the
menu
Report->Custom Report Writer...).
What I think you might want is a file (e.g. a Microsoft Word document
or an ordinary text file) containing the notes, etc. If this is what
you want, here is one way of achieving this. This will list all
events
in the data set by the name of the person. It uses a "List of Events"
report (LOE). Another possibility is to use the "Individual Detail"
report which you might use with its default setup, except that you
select "All People" in the "Focus" tab.
I am not sure of what you mean by "notes", but one interpretation is
the "memo" fields that is attached to every event, relationship, etc.
in TMG. Another interpretation is a tag called "Note" that a person
might have or not, as with any other tag. You can use this method for
both of them, except that the first one will skip the focus filter,
point 13 a) & b) below.
Step by step:
==========
1) Report->Custom Report Writer
2) Scroll down to the report named "List of All Events - by Label, by
Date" and select it
3) If a window pops up asking (among other things) if you want to
"Use
this sample" or "Make a copy", select "Make a copy" so you do not
alter the default report settings.
4) Give the report a suitable configuration name on the "General"
tab,
e.g. "Events with memos by person, by label, by date" (which is what
I
will show you how to get)
5) In destination, select "File", and select your preferred word
processor, for example "MS/Words for Windows 6,7,8,97+" as file type
(or just ASCII text" if you have no word processor)
6) Go to the "Output Columns" tab and click in one of the text fields
on the first row, e.g. in the topmost "Header" field (normally says
"Abbrev"). Then use the F6 key repeatedly until all rows are blank
(F6
deletes the row you are currently at, you may also use the menu
Delete->Delete a filter clause or output column)
7) Click on the topmost "Contents" button, and scroll down to the
"Prin1 Given Last" item and select it. Push "Select".
8) On the next "Contents" button select "Tag Type Label" in the same
way.
9) For the third "Contents" button, select "Date (thin)",
10) and for the forth button select "Memo".
11) These are the data that will be output. Now, to sort them we
enter
the sort index in the sort fields. From top to bottom enter 1, 2 and
3. No sort index for the Memo. This will sort all the records (i.e.
lines of data) on the name of principal 1 on the data (all tags
usually have a principal 1). Then, for each person the persons tags
will be sorted alphabetically, then if there are more than one tag of
the same type for a person, they will be sorted by date.
12) The memo field usually have more than just 20 characters as will
be set up as default. Change this to the largest size you believe a
memo have, say 500. Do not make this number to large. If you do, TMG
will deliberately exit after making a statement about integer
overflow. I do not know what the limits are, but it seems to be 996
characters in the total number of characters shown at the bottom in
the "Output Columns" tab. I am also not sure if TMG will output all
500 characters in the memo even if you tell it to (I think only about
150), but it should be sufficient to se if there is a memo and what
it
contains.
13 a) If you only wants tags of type "Note" to be output, then go to
the "Focus" tab and select "Filtered group".
13 b) If the topmost button in the "Field" column not already says
"Tag Type Label" then click it and select "Tag Type Label". The
"Operator" button shall be "Equals" and the value field "NOTE".
Connect should read "END".
14) Generate the report.
