The option "Use Short Place field" in the Report Definition Screen
[Options] window Places tab tells the report writer that it should
print places using the Short Places Template as globally defined in
the Current Project Options=>Other screen of Preferences. You can
override this Short Place Template for an individual place in the
Master Place List by highlighting and then clicking the [Edit] button
to open the Edit Place window and entering the desired Short Place
Template for that place.
The normal or default Short Place Template (for the US edition on
installation is:
<[CITY], ><[COUNTY], ><[STATE]>
but you can change it to (the default for the UK edition):
<[L3], ><[L4], ><[L5]>
which is the same thing or
<[CITY], ><[STATE], ><[COUNTRY]>
or
<[L3], ><[L5], ><[L6]>
or whatever suits your needs.
If you have been consistent in entering your places, and always
Exclude the County entry when a City is entered in a place and always
exclude the Country entry when it is the US (UK users might prefer to
Exclude the UK entry instead, others as appropriate) then you might
want to have a Short Place Template of
<[CITY], ><[COUNTY], ><[STATE], ><COUNTRY>
which would print only two fields City and State or County and State
except when the County and Country is/are not Excluded -- if the
Short Place option is used.
On the other hand, if you have been consistent with your place
entries using the Exclusion Marker as appropriate and use the Place
Style option then if the place is only the Citry and State or County
and State, then the result is the same.
The advantage of the Short Place Template is that if your places
often print many of the place fields (Addressee, Details, City,
County, State, Country, etc.) then the option for just the Short
Place fields reduces the printed report considerably by just the one
selection.
It all depends on what you want and what you have entered.
